Let staff use ChecQR without their own login

Guest logins let people carry out checks without an email address and password. They were added because many operational staff, such as kitchen, warehouse or cleaning teams, do not have a work email address, and setting up an account for every member of staff takes time.

Guests can only use the mobile app. They can complete checks but cannot see the dashboard.

Turn on guest logins

  1. Go to Settings → Security.
  2. Under Login Options, turn on Guest logins.
  3. Choose when to Log guests out after: 30 minutes, 1 hour or 2 hours.
  4. To ask guests for a PIN, turn on Require PIN. Click Generate new PIN to change it.
  5. To let guests stay logged in on their own phone, turn on Allow guests to stay logged in on their device and choose how long under Keep them logged in for up to.

Login with email can stay on alongside guest logins, so managers and other staff with accounts sign in as usual. At least one login method must be turned on.

What guests see

  1. The guest scans a checklist's QR code with their phone or tablet.
  2. They tap Guest log in. This button only appears when guest logins are allowed for that QR code.
  3. They enter their full name, and the Organisation PIN if a PIN is required.
  4. If guests are allowed to stay logged in, they are asked Is this a shared device?. On their own phone they can answer No, just me and tick Remember me on this device. On a shared tablet they answer Yes, it's shared, and are logged out as normal.
  5. The checklist opens.

Answers from guests are recorded with the name they entered, shown in results as "guest user" followed by the name.

What the PIN does

The PIN is the same for everyone in the organisation. It does not prove who someone is: a guest can type any name, and anyone who knows the PIN can log in.

What the PIN does is stop people who are not staff from answering checks. It works like the code lock on a staff room door. This means you can put QR codes in public areas, such as a toilet cleaning check in a shop or a fridge in a café, without members of the public or curious children scanning the code and leaving answers.

Change the PIN with Generate new PIN when staff leave, or if you think people outside your team know it.
