Portals
A portal is a group of ChecQR organisations managed together. Portals are used by groups with several sites or companies, and by consultants who look after several clients. Each organisation in a portal keeps its own checklists, users and results. The portal lets one team manage shared settings and content across all of them.
The features on this page are only available to organisations that belong to a portal.
The portal dashboard
Portal administrators use a separate portal dashboard with these sections:
- Users: who can access the portal. A portal user can access every organisation in the portal.
- Automatic Reports: reports that are produced automatically across the portal's organisations.
- Policies: rules that apply to every organisation in the portal, including Dashboard Logins (Allow logins by email and password, Allow logins by SSO) and AI Access.
- Alert Types: alert types that are added to every account in the portal. You can lock alert types so that accounts cannot add or change their own.
- Checklist Categories: categories that are defined once in the portal and applied to every organisation's checklists.
- Copy Processes: lists the processes in the portal's repository accounts. Copy a process into any other organisation in the portal; the checklists used by the process are copied with it.
If you have access to more than one portal, choose one under Select portal. On the portal dashboard's main page, repository accounts are marked with ⭐.
Repository accounts
A portal can have one or more repository accounts. A repository account is an organisation that holds master copies of checklists and processes.
Repository accounts are mainly used by large organisations with several locations. A central team, such as the compliance team, owns the repository. It writes and maintains the standard checklists and processes there, and copies them out to each location, so every site works from the same checks. For example, a central compliance team keeps the standard food safety checks in the repository and copies them to each new site when it opens.
Consultants can use repository accounts in the same way, to keep a standard set of checklists and copy them into each client's account.
In the organisation dashboard, open a checklist's Checklist Summary page and click More actions → Copy into another account:
- In a repository account, you can copy the checklist into any organisation in the portal.
- In any other organisation in the portal, you can copy the checklist into a repository account.
Processes are copied from a repository account in the portal dashboard, using Copy Processes.
Example: a site manager improves the cleaning checklist at their location and copies it into the repository. The central compliance team reviews it there and copies it out to the other locations.
Settings that the portal controls
Some settings in an organisation's dashboard are set by the portal and cannot be changed in the organisation:
- AI access: if the portal sets it, the organisation's Account Options show "AI access is set by your portal administrator". See Using AI assistants (MCP).
- Alert types, when the portal has locked them.
- Checklist categories defined by the portal.
