Group and filter checklists with categories
Categories let you group checklists, for example by site, department or type of check, and filter by them in the dashboard.
- Go to Settings → Checklist Categories.
- Click Add category type and enter a Category name, for example Site.
- Add the Category values, for example Bristol, Cardiff and Swindon.
- To limit who can answer checklists with a value, choose groups under Restrict answering to groups. See Only let certain groups answer a checklist below.
- Save the categories.
- Open each checklist, click Edit settings, and choose its values under Checklist categories.
Only let certain groups answer a checklist
A category value can be restricted to one or more groups. Any checklist tagged with that value can then only be started or answered by users in those groups. Other users are told the checklist is restricted to a group they are not a member of. ChecQR checks this when someone starts or answers the checklist, not just in what the app shows.
The rule is strict when several restrictions apply: the user must be in every group named by every restricted value on the checklist. For example, if a checklist is tagged Site: Bristol, restricted to the Bristol group, and Department: Kitchen, restricted to the Kitchen group, only users in both the Bristol and the Kitchen groups can answer it. Someone in only one of the two groups cannot.
Checklists with no restricted values can be answered by anyone with access.
To restrict a checklist to a single group without setting up your own category, use the Only for group category. ChecQR creates it automatically, with one value for each of your groups, already restricted to that group. Tick the group's value in the checklist's Checklist categories. Groups are managed under Settings → Groups.
Categories marked Managed are set by your portal and cannot be changed in the organisation. See Portals.
